    Nothing needs explaining to someone who has run a workshop. What is different is where it all ends up.

    Open, in progress, on hold, complete. The close-out note becomes the service record on the machine.
    Requests and approvals
    Anyone raises one against a machine; a supervisor approves, defers, or turns it into a job without retyping.
    Inspections and pre-starts
    One item at a time, photo where required, signature to finish. Runs offline and syncs later.
    PM schedules and parts
    Due by date or by hour meter, with stock and locations. The same rules apply from a screen, an email or the assistant.

    A pump is one record. From Plant it shows what is happening; from Maintenance, what work it needs; from Safety, whether the controls are in place; from Costs, what it has committed. What another team owns appears on the machine only when it matters right now.

    People and risk

    A stood-down machine, or one carrying an unresolved critical defect, refuses the next pre-start on every screen. If Mainte cannot check, it says so. HSEQ events are reported in the words of the person who was there and actioned as ordinary requests. The competency register says who is cleared, for what, and whether it is current, including people without a login. Mainte records evidence; authorisation stays the employer's decision.

    Cost

    A receipt is photographed on the job. Mainte reads it; a person with the authority confirms it. Each cost belongs to a project, a machine, a work order or a purchase order. Bank statements are matched, and what does not line up is shown as a list of things to decide. Confirmed costs export to Xero as draft bills; Xero stays the accounting authority. Costs are not yet rolled up per machine.

    Live plant

    Where fixed plant is connected through Mainte Edge, each machine's condition is shown in five words on the plant overview, the mimic and the plant-room kiosk. The limits are your engineers' limits; a reading past one becomes a job with the reason attached. Edge can only read, buffers through an outage, and a dead sensor stays a gap on the screen.

    If it doesn't know, it says so

    No invented values, no last-known-good held on a screen. A gap in the data stays a gap.

    Security. Primary data is stored in Sydney, encrypted in transit and at rest, on an isolated deployment per customer. Role-based access is enforced the same way for the screen, the API and the assistant, with a full audit history of who changed what and when. Controls are designed to meet the Privacy Act 1988 and the Notifiable Data Breaches scheme and follow ISO 27001-aligned practice as we work toward external assessment. We label alignment as alignment and answer security questionnaires for procurement.
